Terms and Conditions

These are the terms on which we sell you a trek, safari, day trip or course. We have kept them short and written them in plain English, because terms you cannot read protect nobody.
Your cancellation and refund terms are set out separately on our Cancellation Policy page, and form part of these terms.
1. Who we are
Wild Springs Adventures Limited, a company registered in Kenya.

In these terms, "we" and "us" means Wild Springs Adventures Limited. "You" means the person making the booking, and everyone travelling on it.
2. Making a booking
An enquiry is not a booking. A booking exists when all three of these have happened:
- we have confirmed in writing that we can run your chosen date and route;
- we have sent you a written quotation or invoice setting out the price, what is included and what is not; and
- your deposit has reached us.
Until then nothing is held. We will tell you plainly if a date fills while you are deciding.
If you are booking for other people, you are responsible for making sure they have read these terms and have given us accurate information. You are our point of contact for the whole party.
You must be 18 or over to make a booking. Under-18s are welcome on our trips when accompanied by a parent or guardian who makes the booking.
3. Prices and payment
A deposit of 50% of the trip price confirms your place. The balance is due 14 days before departure. Your deposit comes off your total; it is not an extra charge.
Prices are quoted per person, in US dollars or Kenya shillings. The price in your written quotation is the price you pay. Once your booking is confirmed we will not increase the price except where a government or park authority increases a fee we have to pay on your behalf and we have not yet paid it — in which case we will show you the official notice, and if you do not want to pay the increase you may cancel and we will refund you in full.
Kenya Wildlife Service charges Kenyan citizens and residents a lower park fee than non-residents, and we pass that difference straight through. That is why our resident prices are lower. Residency is verified by KWS at the park gate, so please carry your ID or resident card.
How we take payment
We accept bank transfer, card and M-Pesa. Once we confirm your place we send you a written invoice from our office, and that invoice carries the only account details you should ever use.
We never request payment through social media, personal phone numbers, or any account or link not confirmed in writing by our office. If in doubt, call us before paying anyone.
4. Guaranteed departures
Every date we publish runs, even if you are the only person booked. We do not cancel departures for low numbers. This is a term of your contract, not a marketing claim.
The price follows the size of the party, not the date:
- One trekker — the solo rate applies.
- Two or more — the group rate applies.
We say this before you see the price table so that nobody books expecting a group rate and pays a solo rate. If you are the only person booked, we will tell you before you pay your balance.
Maximum group size is 8 trekkers. That is a hard limit, not a target.
5. What is included
On our Mount Kenya group treks:
- All Kenya Wildlife Service park entry and camping fees
- Return road transport from Nairobi, with pickup and drop-off at your accommodation (private and group-joining tiers)
- KWS-certified mountain guide, mountain chef and porters
- Sleeping mats
- All meals on the mountain, full board — hot breakfast, packed trail lunch with a hot thermos, hot dinner — plus hot drinks and boiled drinking water
- Mess tent, camping equipment and group safety gear
- Mountain rescue coordination, a first-aid kit and pulse-oximeter monitoring at each camp
- Summit certificate on reaching Point Lenana
6. What is not included
- Sleeping bag — hire available on request. We recommend a bag rated to −15°C
- Personal trekking clothing and boots, and a warm summit jacket
- Travel and medical insurance — mandatory, see section 8
- Tips for the mountain crew
- Nairobi accommodation and meals before or after the trek
- International flights and visas
- Public transport fares to the base town, on that tier only
- Items of a personal nature
Air evacuation cover
AMREF Flying Doctors evacuation cover is not included in your trek price. We can arrange it on request at additional cost — tell us when you book. Every climb carries mountain rescue coordination, a first-aid kit and pulse-oximeter monitoring at each camp as standard.
Tipping
Tips are not included and are entirely at your discretion. As a guide, per day: lead guide USD 15–20, cook USD 10–12, each porter USD 6–8. Hand them to the lead guide at the end of the climb, in shillings or dollars, and they are shared across the team.
7. Your fitness and your health
Point Lenana is a trekking summit at 4,985 metres. It requires no ropes and no technical climbing, but it is a serious walk at high altitude and it is not a stroll. Batian and Nelion, the two higher peaks, are technical climbs and are not part of these treks.
You must tell us, before you pay your balance, about any medical condition, medication, allergy, dietary requirement, injury or mobility issue that could affect you at altitude or affect how we look after you. This includes heart and lung conditions, diabetes, epilepsy, pregnancy, and any previous experience of altitude sickness.
We treat that information confidentially and use it only to keep you safe — see our Privacy Policy.
Telling us costs you nothing. Not telling us could cost you a great deal. If you withhold something material and it affects the trek, we may have to end your trek without a refund. We have never wanted to do that and we would much rather plan around a condition than discover it at 4,200 metres.
8. Insurance is mandatory
You may not travel with us without it. Two requirements apply.
Kenyan law. Visitors to Kenya staying under 12 months must hold travel health insurance with a minimum total benefit of USD 50,000, covering medical treatment, emergency medical transport, medicines, mental health and repatriation. This is verified through the eTA system before you travel and can be checked at the port of entry. A policy from your own country counts if it meets the limits.
Our requirement on top of that. Your policy must cover trekking to 5,000 metres and emergency evacuation. Many standard travel policies exclude altitude above 3,000 or 4,000 metres. That is the exclusion that matters on Point Lenana. Check it before you buy, not after.
We ask for proof when your balance is paid. If you arrive without valid cover we cannot take you onto the mountain — we will help you obtain compliant cover first, but if that is not possible it is treated as a no-show under the Cancellation Policy.
9. Safety, and your guide's authority
Your guide is in charge of the mountain. On matters of safety, your guide's decision is final. That includes changing the route, changing the camp, changing the summit timing, or telling you to descend.
Altitude sickness is real above 3,500 metres and the only treatment is to go down. If your guide tells you to descend, you descend. A guide or porter comes down with you and we do not charge you for that. We will never put you in a position where you are weighing money against your health.
If you refuse a reasonable safety instruction, or if your behaviour puts yourself, other trekkers or our crew at risk, we may end your trek. In that case there is no refund and you meet your own costs of getting home. We have needed to do this very rarely, and the clause exists so that everyone knows where they stand.
10. Changes to your trip
Changes we make
Mountains and wildlife are not timetables. We may need to change a route, a campsite, an order of days or a vehicle. Where the change is minor we will tell you and carry on. Where the change is significant — a different summit, a materially shorter trip, or a different mountain — you may accept it, move to another date, or cancel and receive a full refund.
If a change saves us money on park or hut fees, we pass the saving back to you.
Changes you make
Moving your dates, sending someone in your place, and cancelling are all covered on the Cancellation Policy page. Moving your dates is free more than 14 days out and is nearly always cheaper for you than cancelling.
11. Third parties
Some parts of your trip are provided by others — Kenya Wildlife Service, hotels and lodges, airlines, and independent transport providers. We choose them with care and we remain responsible for arranging your trip properly. We are not responsible for the independent acts of a third party that we could not reasonably have foreseen or prevented, and we are not responsible for services you book directly with someone else.
If something a supplier does goes wrong, tell us. We will help you pursue it whether or not we are legally liable, because that is what a tour operator is for.
12. Our liability
We accept responsibility for arranging your trip with reasonable skill and care, and for the acts of our own staff and crew acting in the course of their work.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, or for fraud, or for anything else that cannot lawfully be limited. Any clause elsewhere that appears to do so does not apply.
Trekking at altitude carries risks that cannot be removed by any operator — altitude sickness, weather, rockfall, uneven ground, and remoteness from medical help. We manage those risks with certified guides, acclimatisation planning, oximeter monitoring and rescue coordination. We cannot eliminate them, and by booking you accept that.
We are not liable for loss or damage to your personal belongings, or for losses your insurance is designed to cover.
13. If things go wrong
Tell your guide at the time. Most problems on a mountain can be fixed on the mountain, and almost none can be fixed a month later.
If it is not resolved, write to [email protected] within 28 days of the end of your trip, with your booking reference and what happened. We aim to acknowledge within 2 working days and resolve within 14.
14. Things outside anyone's control
We are not liable for failing to perform where the cause is genuinely outside our control — including extreme weather, park closure, natural disaster, epidemic, civil unrest, strike, or government action. What happens to your money in those circumstances is set out in section 6 of the Cancellation Policy.
15. Photographs
We sometimes photograph trips and use the images in our marketing. Tell us at any time if you would rather not appear — before, during or after the trip — and we will not use images of you. There is no form to fill in; an email is enough.
16. Your information
How we handle your personal information, who we share it with, how long we keep it and what rights you have are set out in our Privacy Policy.
17. Law and your rights
These terms are governed by the law of Kenya, and the Kenyan courts have jurisdiction.
If you live in the United Kingdom or the European Union, this does not take away rights you have under your own country's consumer law, and you can bring a claim in your own local courts. We say so plainly because it is true whether we write it here or not.
If any part of these terms turns out to be unenforceable, the rest still applies.
18. Changes to these terms
We may update these terms. The terms that apply to your booking are the ones published on the day you booked, and we will send you a copy on request. Changes are not applied backwards to a confirmed booking.
